Job Description:

The Office Coordinator oversees medical records and assists with other program projects as needed. Responsibilities include processing of payroll, accounts payable, facility management, equipment/IT tracking, maintain and order supplies and all coordination of correspondence

  • Schedule: Full Time, 40 Hours, Days

Essential Functions/Key Responsibilities:

  • Provides technical assistance to staff on operational issues such as personnel policies, payroll, travel expense, check request, purchasing, record keeping and training.

  • Process payroll for program(s)

  • Maintain program(s) IT inventory list

  • Orientates new employees to program including but not limited to safety procedures, IT needs, voicemail, office space assignment, access codes, etc.

  • Oversees medical records function for program(s), ensuring that files are properly maintained per program regulations, neat and orderly.

  • Manage all mail and other patient related correspondence, both internal and external

  • Monitors physical site need in relation to maintenance, information technology, phone system, office machines and supplies.

  • Collaborate with other departments as required to meet facility requirements for licensing bodies, occupancy certificates, etc.

  • Prepares work orders for facility and IT needs, working closely with the facilities and IT department to ensure project(s)/request(s) are completed as requested.

  • All other duties as assigned

Qualifications & Education:

  • High School Diploma/GED; a minimum of 3 yrs.

  • Experience in a related field; basic supervisory principles and practices; techniques for dealing effectively with the public and staff, in person and over the telephone.

  • Standard office administrative practices and procedures, including the use of standard office equipment; Computer applications; Excel and Word, knowledge of electronic health records a plus; records management principles and practices.
